# Cancelling a Server and Refunds

You cancel a server by deleting it from its **Settings** tab in KPanel. For most servers, this deletes the server straight away and stops its billing. This guide explains what is deleted, when billing stops, and how refunds work for servers.

## Before You Delete

> **Important:** Deleting a server erases its disk, its snapshots and any attached volumes. This cannot be undone.

1. Copy off anything you want to keep: databases, uploads and settings.
2. Detach any [Block Volume](https://support.kapsulehost.com/en-nz/cloud-servers-storage) you want to keep. Attached volumes are deleted with the server.
3. Point your domains at another server, so your sites do not go down unexpectedly.

[Managed Backups](https://support.kapsulehost.com/en-nz/cloud-servers-managed-backups) and [snapshots](https://support.kapsulehost.com/en-nz/cloud-servers-snapshots) of the server are not kept after it is deleted.

## Delete a Server

1. Sign in to [KPanel](https://kpanel.kapsulehost.com).
2. In the sidebar, open the section for your server type, then click your server.
3. In the server's menu, click **Settings**.
4. Click **Delete Server**.
5. Read the red warning, click **Delete Server** in the box, and confirm it is you. There is one confirm, and you do not type the server name.

You go back to the server list, which says the server is being deleted. Billing for the server stops. We send a security email about the delete, and if you are not an account owner, the owners get a copy.

Only a member who can manage both servers and billing can delete a server, in practice the Owner or Admin role. Others see "Only someone who manages billing can delete a server."

### If You See a Different Button

- **Open Delete**: some older servers are deleted from their older server page. Click it, then delete the server there. That also stops its billing.
- **Contact Support**: our team deletes this server for you. "Contact us and we will do it right away."

## Servers That End at the End of the Term

For servers in some data centres, cancelling takes effect at the end of the paid term instead. On those servers the confirm box says the server "is cancelled, not deleted now" and shows the date it stays until. You click **Delete Server** in the same way.

- The server keeps running until the end of its paid term, and the server list shows "Cancelled, ends" with the date.
- There is no further charge after that date.
- On that date, its disk, its snapshots and any attached volumes are erased and cannot be recovered.

Copy off anything you need before the date shown.

## Hourly GPU Servers

Hourly GPU servers stop being charged as soon as they are stopped in KPanel or deleted. Unused credits follow the credits rules, not the server refund rules. See [Hourly GPU and Credits](https://support.kapsulehost.com/en-nz/cloud-servers-gpu).

## Object Storage

## Refunds

Servers, including cloud, dedicated, metal and GPU servers, are not covered by the [30-day money-back guarantee](https://support.kapsulehost.com/en-nz/billing-money-back). Refund requests for servers are reviewed by our team.

| Term | What happens |
|---|---|
| **Monthly** | No refund is paid for the unused part of the month. |
| **12 or 24 Months** | You can ask for a pro rata refund for the full months you have not used. |

For a 12 or 24-month server, the pro rata refund is worked out like this:

1. Take the term fee, times the full unused months, divided by the months in the term.
2. Take off the term discount you received for the months you used.
3. Take off anything that is not refundable.

If the result is zero or less, no refund is paid and you owe nothing more. Licences, setup fees and other items listed as non-refundable in our refund policy are not refunded.

## Troubleshooting

**"The server was deleted, but stopping its billing is not confirmed yet. We are retrying it for you."** Nothing more to do. If a charge still appears, open a ticket from **Support**.

**"We could not confirm when this server's paid period ends, so nothing has been deleted."** Open a ticket from **Support** and we will sort it out.

**I deleted a server by mistake.** The server and its data cannot be brought back. If you kept a copy elsewhere, order a new server and restore it there.
